Carrier Onboarding Specialist

Ordering Base Inc. is a Philadelphia-based truck dispatching company founded in 2023. We support owner-operators and small fleets across the United States with load booking, rate negotiation, route planning, broker setup, credit checks, invoicing and 24/7 driver communication. Our dispatchers work load boards and broker networks every day so carriers stay loaded, paperwork stays clean, and money moves after delivery. ROLE SUMMARY

Carrier Onboarding Specialist: get authorities ready to haul and keep packets current so dispatch never stalls.

You own the document pipeline from “yes, I want dispatch” to “cleared to book.” Accuracy and speed both matter: missing COIs and expired packets lose good freight. You will work closely with sales, dispatch and brokers every day.

DAY-TO-DAY / SCHEDULE

On-site in Philadelphia during business hours. Heavy email, portal and checklist work with frequent carrier calls.

KEY RESPONSIBILITIES

• Collect MC/DOT details, certificates of insurance, W-9s, CDLs, agreements and factoring notices.

• Build and submit complete broker setup packets without missing required fields.

• Track insurance expirations and filings; remind carriers before anything lapses.

• Run broker/shipper credit checks and share clear results with dispatch before booking.

• Maintain organized digital carrier files the whole team can trust.

• Coordinate go-live timing so a new carrier is not waiting idle after approval.

• Answer carrier questions about why each document is required.

• Flag incomplete or high-risk packets early instead of letting them fail at the broker.

• Support re-packets when carriers add equipment or change insurance.

• Keep a weekly aging list of open setups and expirations.

REQUIRED QUALIFICATIONS

• Experience in carrier setup, compliance, logistics admin, insurance certificates or similar detail work.

• Exceptional attention to detail and deadline discipline.

• Strong skills with email, spreadsheets and web portals.

• Clear, patient communication with drivers and office staff.

• On-site in Philadelphia, PA; eligible to work in the U.S.

NICE TO HAVE

• Prior FMCSA / insurance certificate holder experience.

• Familiarity with major broker carrier portals.

• Experience supporting a multi-carrier dispatch desk.
