Ordering Base Inc. ("Ordering Base", "we", "us" or "our") is a truck dispatching company based at 7720 Ogontz Ave, Philadelphia, PA 19150. This Privacy Policy explains how we collect, use, share and protect information when you visit orderingbase.com (the "Site"), contact us, submit an onboard form, or use our dispatch and back-office services.

2. SCOPE

This policy covers personal information and business contact information we handle in the United States in connection with the Site and our services. It does not cover third-party websites, broker portals, load boards or factoring platforms that you access under their own policies.

3. INFORMATION WE COLLECT

Information you provide: name, company name, phone, email, equipment type, preferred lanes, MC and DOT numbers, certificate of insurance details, W-9 or tax information, CDL information when provided, factoring contacts, and messages you send by form, phone, text, WhatsApp or email. Operational information: load preferences, rate confirmations, POD and invoice documents you share so we can dispatch and bill. Automatic Site data: IP address, browser type, device type, pages viewed and approximate location derived from IP, collected through standard server logs and similar technologies. We do not intentionally collect sensitive government ID beyond what is needed for carrier onboarding and compliance paperwork you choose to send.

4. HOW WE USE YOUR INFORMATION

We use information to: respond to inquiries and onboard requests; provide dispatch services; communicate about loads, delays, detention and paperwork; set you up with brokers; prepare or send invoices and factoring packets; improve the Site and our services; protect against fraud or misuse; and comply with law. We do not sell your personal information.

5. HOW WE SHARE INFORMATION

We share information only as needed to run our business: with brokers, shippers and receivers involved in loads you accept; with factoring companies you designate; with service providers who help us operate email, hosting, communications or document tools under confidentiality obligations; and when required by law, legal process or to protect rights and safety. We do not sell carrier lists to unrelated marketers.

6. COOKIES AND SIMILAR TECHNOLOGIES

The Site may use cookies or similar technologies for basic functionality, preferences and understanding how pages are used. You can control cookies through your browser settings. Blocking some cookies may affect Site features.

7. RETENTION

We keep information as long as needed for the purposes described above, including the life of an active dispatch relationship, then for a reasonable period for records, dispute resolution, tax and legal obligations. When we no longer need information, we delete or de-identify it where practicable.

We use reasonable administrative, technical and physical safeguards appropriate to the type of information we handle. No method of transmission or storage is completely secure; you use the Site and electronic communications at your own risk. You may request access to, correction of, or deletion of personal information we hold about you, or ask us to stop non-essential marketing contacts.
